Privacy Policy

This privacy notice covers the specific personal information 1 Minute Feedback collects and processes relating to our users and their employees, platform end-users, for purposes of provision of our service – 1 Minute Feedback Platform. Your organisation is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

Your organisation owns the licence to this Service. Our purpose is to make this service available to you and to enable you to send and receive feedback.

What information does 1 Minute Feedback Platform processes

We collect and processes a range of information about you. This includes (as applicable):

Contact information: Your name, e-mail address, password, photo

Employment information: name of your organization and specific information related to your role in your organization including management level, region, country, function and unit.

Respondent Information: A User will enter your e-mail address and may enter your name so that we can send you a personalized request to provide feedback on the questionnaire they would like you to complete.

Questionnaire Data: We collect and store the feedback you submit including your comments. If you have a question about the feedback you are being asked to provide, we encourage you to contact the person who sent you the request for feedback. This information is used to generate Reports that may contain personal information about feedback provided by you and your team members, respondents and other End Users.

We collect this information in a variety of ways. Contact information and questionnaire data is provided by you and employment information is provided by your employer.

In some cases, the organisation collects personal data about you from third parties, such as feedback received by respondent who may not be a part of your organization.

Data is stored in a range of different places, including in our user database, your organisation’s HR management systems and on other IT systems (including our network drives and email system).

Why does 1 Minute Feedback process personal information?

We process personal information to provide your organization with our Service. This includes:

  • Feedback generation
  • Emails that we send to respondents
  • Service emails, notifications and general communication that we engage in over emails
  • Occasional surveys

Who has access to personal information?

Your information will be shared with your organization, including with your line manager, managers in the business area in which you work and senior managers, HR  and externally with our  IT staff if access to the data is necessary for providing support and fixing bugs.

Who can access Your feedback and Reports?

If Your Organization requested access to your feedback data, your direct Manager as well as responsible HR managers will be enabled to see your feedback data for purpose to help you learn and develop your skills.

Otherwise,  your Manager will only be able to see aggregate feedback data. This is the only information Human Resources and your Manager will be able to see. If you are the only person reporting to your Manager, this person will not be able to access your feedback. We do encourage you to share your feedback with your Manager so that they can partner with you to help you learn and develop your skills.

1 Minute Feedback has published its data-sharing practices in a separate Privacy Policy. We urge you to read it and if you disagree stop using this Service immediately.

How does 1 Minute Feedback protect data?

We have internal policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by its employees in the performance of their duties.

Where we engage third parties to process personal data on our behalf, they do so based on written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.

For how long does 1 Minute Feedback keep data?

After you leave the organisation or after our contract is terminated with your organisation we will delete all data associated with your account. Your organization may request this data in machine-readable form. We will provide this data upon request, and if you still wish to delete your personal information please contact your direct manager.

Your rights if you reside in EEA or Switzerland

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request
  • require the organisation to change incorrect or incomplete data
  • require the organisation to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing
  • object to the processing of your data where the organisation is relying on its legitimate interests as the legal ground for the processing
  • Ask the organisation to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the organisation’s legitimate grounds for processing data.

If you would like to exercise any of these rights, please contact your organisation’s Data Protection Officer or your direct Manager.

If you believe that the organisation has not complied with your data protection rights, you can complain to your supervisory authority.

Automated decision-making

We employ complex mathematical formulas that calculate overall feedback score. Every feedback is compiled into Report. The Report is a reflection of your overall feedback received by your team, managers and other respondents based on your performance of various job-related tasks. This Report may have some positive or negative effect on your job performance score. If you believe there has been a mistake in our calculation please contact us on reports@1minutefeedback.com, and we will manually check your score and provide you with results in 30 days.
